At Hair Inc Academy, we understand that circumstances may change, and international students may need to make adjustments to their enrolment. Our International Student Refund Policy is designed to provide clear guidelines regarding refunds in such situations. Please review the following policy carefully.

Refund Policy Overview:

  1. Tuition Fees: a. Application Fee: The application fee is non-refundable. b. Registration Fee: The registration fee is non-refundable. c. Tuition Fees: Tuition fees are refundable according to the guidelines outlined below.

  2. Refund Guidelines for Tuition Fees: a. Full Refund: A full refund of tuition fees will be provided if the student cancels their enrolment before the program's official start date. b. Partial Refund: If a student withdraws after the program's official start date but before the end of the first week of classes, a partial refund will be granted, deducting a non-refundable administrative fee.

  3. Documentation: a. To request a refund, international students must submit a written notice of withdrawal to the Academy's administration. b. The official withdrawal date is the date when the written notice is received by the Academy.

  4. Refund Calculation: a. The amount of the refund will be determined based on the official withdrawal date. b. The administrative fee and any other non-refundable fees will be subtracted from the total tuition fees. c. The remaining balance will be refunded to the student.

  5. Refund Processing Time: a. Refunds will be processed within 30 days of the official withdrawal date.

  6. Special Cases: a. In case of visa denial, students must provide official proof of visa denial, and a full refund of tuition fees will be granted. b. Refunds are not provided for any expenses related to accommodation, transportation, or personal expenses.

  7. Dispute Resolution: a. If there are any disputes or concerns regarding the refund process, international students are encouraged to contact the Academy's administration for resolution.

REFUND POLICY:

Hair Inc Academy follows the refund policy in accordance with the guidelines established by the Alberta Government's Private Vocational Training Regulation. In cases where a student either withdraws from their program of study or is terminated, the institution will adhere to the tuition retention percentages outlined in Section 17 of the Private Vocational Training Regulation.

(a) If less than 10% of the vocational training has been completed, 25% of the tuition fees will be refunded.

(b) If between 10% and 50% of the vocational training has been completed, 60% of the tuition fees will be refunded.

(c) If more than 50% of the vocational training has been completed, no tuition fees will be refunded.

In cases where a licensee has received excessive tuition fees, they are required to provide a refund for the excess amount.

Hair Inc Academy will refund all fees to the original payment source. For students using Student Loans or whose tuition has been paid by an agency or funder, the refunded fees will be directed toward repaying the student loan or the respective agency or funder, as specified in Section 21 of the Private Vocational Training Regulation.

Once an institution confirms that admission standards have been met, a contract can be established with the student. This may involve collecting a $500 registration fee. If a student cancels their contract within the first four business days after signing it, the licensee is obligated to refund all tuition fees paid by or on behalf of the student.

Educational Guideline Policies:

Hair Inc Academy takes pride in offering a comprehensive online learning platform for students. We also encourage students to utilize their personal devices to promote their services and build a client base through social media. Students are encouraged to capture and share photos or videos of their work with family, friends, and potential clients.

One significant distinction between high school and post-secondary college is the approach to privacy and complaint procedures. We acknowledge that individuals such as parents, friends, spouses, family members, or employers may have good intentions when expressing concerns or requesting access to student information. However, Hair Inc Academy will only address concerns raised directly by the student. Students are required to submit their concerns using the designated Student Concern Form. If a student wishes to authorize a third party to access their student file, they must provide written consent. The school will only disclose information to authorized individuals or if legally obligated to do so by legislation, subpoena, court order, or as part of an ongoing police investigation.

PUNCTUALITY AND PARTICIPATION

Consistent attendance plays a pivotal role in the academic journey and overall achievement of our students. At Hair Inc Academy, we collaborate closely with our Training Partners to ensure a smooth transition for our graduates into the professional world.

Excused and Unexcused Non-Attendance:

In the event that a student is unwell, it is imperative that they refrain from attending school. If a student is unable to attend due to illness, they are required to inform the campus of their absence by the morning of the first day and provide a valid explanation. This absence will be classified as excused.

However, if a student fails to notify the campus of their absence without a justifiable reason, it will be marked as unexcused. Students accumulating three unexcused absences will be placed on Attendance Probation.

Given the current health and social distancing measures, it may not be feasible for all students to attend classes simultaneously. In such cases, students with subpar attendance records might be requested to reschedule their return to campus, ensuring space for those who can maintain regular attendance.

Should your instructor or campus director determine that your absences have exceeded an acceptable threshold, a meeting will be scheduled to discuss your continued participation in the program. Excessive non-attendance may result in the need to repeat specific program sections. Please be aware that attendance is assessed on a weekly basis, and it is advisable for students to review their attendance records posted each week.

Hair Inc Academy recognizes that certain circumstances beyond a student's control may necessitate an extended absence from school. In such situations, students facing such challenges may submit a request for a leave of absence, which could lead to an extension of their enrolment agreement.

DISPUTE RESOLUTION POLICY

  1. Dispute Resolution Authority: The Hair Inc. Academy (HIA) Director serves as the designated authority responsible for addressing and resolving all complaints and disputes.

  2. Submission of Dispute: Parties involved in a dispute are required to submit their grievances in writing to the HIA Director.

  3. Review and Investigation: Upon receiving the written submissions, the HIA Director will commence the review and investigation process, aiming to complete this within a period of two days.

  4. Decision and Communication: The HIA Director will provide a written decision, including the rationale for the decisions, to all parties involved in the dispute within one week of completing the investigation.

  5. Third-Party Mediation: In the event that any of the parties are dissatisfied with the HIA Director's decision, a third-party mediation and arbitration institute will be engaged to mediate the dispute. The associated costs of third-party mediation will be shared equally among all parties involved, excluding Hair Inc. Academy.

  6. Escalation to Regulatory Body: If a resolution remains elusive, the dispute may be further escalated to the relevant Provincial Private Institution Regulatory body. Students in Alberta can find additional information at www.iae.alberta.ca/post-secondary/institutions/private/.

  7. Transparency and Accountability: To ensure transparency and accountability, written reasons for the resolution of the dispute will be provided to the student within 45 days from the date the complaint was initially filed.

Policy Statement: Hair Inc Academy is committed to safeguarding the integrity and security of student records and information for the benefit of both our students and the institution. We will establish and maintain student records essential for administrative and academic purposes, ensuring compliance with the institution's Records and Information Management Policy and relevant Provincial/Federal laws concerning freedom of information and privacy protection.

1.0 Privacy Protection and Legal Framework:

1.1 The Personal Information Protection Act (PIPA) governs all personal information of students collected, generated, and recorded by Hair Inc Academy, as a post-secondary educational institution under the Private Vocational Training Act.

1.2 All student records are subject to the provisions of the Personal Information Protection Act (PIPA), including categorization as Personal Information Banks, as outlined in Policy D7220.

1.3 Students at Hair Inc Academy have specific rights and protections regarding information access and privacy under the Personal Information Protection Act (PIPA), and they are responsible for ensuring the security of their personal information.

1.4 Students are entitled to access the information within their student records in accordance with institutional policy, regulations, and the Personal Information Protection Act (PIPA).

1.5 Faculty and staff may access student records and personal information solely for academic and administrative purposes.

1.6 Access to student records and personal information is granted exclusively to faculty and staff who have signed the institutional confidentiality agreement.

1.7 Certain personal information of students may be routinely released without requiring informed consent by the Office of the Registrar to comply with the Personal Information Protection Act (PIPA).

1.8 Students may request the exclusion of specific personal information from routine release by submitting a written request to the Registrar.

1.9 Students seeking confirmation of enrollment, graduation, registration, grades, academic standing, tuition, and fees should contact the Office of the Registrar.

1.10 Students can authorize another individual to obtain copies of their personal information records from Hair Inc Academy by completing the Student Personal Information Record Disclosure Request and Consent form, available from the Office of the Registrar.

1.11 Verbal sharing of personal information by students with third parties requires the completion and submission of a Consent to Discuss a Student with a Third Party document.

Retention of Student Records:

2.1 Information used for decisions affecting students must be retained for one year.

2.2 Program or faculty files for graduated students must be retained for one year from the graduation date.

2.3 Program or faculty files for admission purposes must be retained for one year from the final admission decision date.

2.4 The official student file in the custody of the Office of the Registrar will be retained for four years after the last recorded academic activity.

2.5 The official credit transcript in the custody of the Office of the Registrar will be held for 100 years as an electronic student record.

2.6 Marked materials not returned to students, such as examinations and assignments, must be retained for one year.
